Data Handling and Storage
General Data Storage
All data managed by 365BOX is stored within the Microsoft 365 Tenant (SharePoint Online) of the customer. There is no connection to any third-party services or 365BOX servers. Additionally, there is no outbound communication from the 365BOX tool to external systems.
Personalization Tools
When using personalization tools such as Personal News or Shortcuts, the data is stored in a hidden list within the site collection. For each user, an entry is created with the following information:
- User ID: The SharePoint User ID, which varies for each site collection.
- Custom User Configuration: JSON formatted text containing user-specific settings (e.g., shortcuts or configured news tags).
No other data is collected, distributed, or stored by 365BOX.
365BOX Download and Update
To download or update 365BOX, a sign-up at 365BOX.de is required. The process involves the following steps:
- Sign-Up/Login: A company or partner must log in via email address and magic link at 365BOX.de.
- Email Notification: The system automatically sends an email notification when a new 365BOX update is available to the registered email address.
- Version Download: If a valid license is held, the latest version can be downloaded directly from the dashboard at 365box.de/dashboard (opens in a new tab).
No additional data is required for the sign-up process, ensuring minimal data handling and maximum privacy.
Data Collection
365BOX does not collect, distribute, or store any data beyond what is necessary for the personalization tools and the update notification system. The information stored is limited to the user's SharePoint User ID and their custom configuration settings in JSON format.
Website Analytics
Plausible Analytics
The 365BOX website uses Plausible, a privacy-focused and GDPR-compliant analytics tool. Plausible is hosted in the EU and powered by European-owned cloud infrastructure, ensuring compliance with data protection regulations.
